OrderHUBx BatchTrack

Know Where Every Item Came From. Know Where Every Item Went.

Full supply chain traceability from production line to customer doorstep. Batch tracking, serial numbers, FIFO enforcement, and instant recall capability.

The Problem & The Solution

Most businesses track orders but not batches. When quality issues arise, they scramble. Here's how batch-level traceability changes everything.

Problem Today How BatchTrack Fixes It
No record of production batch Every item tagged with batch ID, shift, operator, timestamp
Manual FIFO tracking on spreadsheets Automatic First-In-First-Out enforcement by pack date
Stock counts take days with manual lists Barcode-scanned reconciliation — hours become minutes
Can't trace defects back to source Instant batch-to-customer lookup for targeted recalls
Inventory shrinkage unexplained Every movement logged with full audit trail
Expiration and obsolescence risk Batch age tracking with automatic aging alerts
Compliance documentation gaps Complete chain-of-custody documentation on demand

How It Works

Three stages turn your supply chain from a black box into a fully transparent, traceable operation.

🏭

Tag at Production

Pre-printed unique barcode labels on each package. System records: SKU, quantity, batch run ID, shift, operator, timestamp, and warehouse location.

📦

Track Through Warehouse

Scan at every touchpoint: receiving, shelving, picking, packing. FIFO automatically enforced. Real-time discrepancy flagging.

🔍

Trace to Customer

Every shipped order linked to specific batch IDs. Enter a batch — see every customer. Enter a customer — see every batch. Instant bidirectional traceability.

Workflows in Detail

Four core workflows cover every stage of batch-level traceability — from production tagging to emergency recalls.

🏭 Production Packing
1
Scan PRODUCTION command card

System enters production packing mode — ready to receive batch labels.

2
Scan batch label (pre-printed with unique barcode)

System displays: batch ID, SKU, expected quantity. The batch is now active.

3
System confirms batch details

Screen shows: batch ID, SKU name, expected quantity. Operator verifies before proceeding.

4
Operator scans each item as it's packed

Progress counter updates in real time. Each scan records: item serial, pack timestamp, operator ID.

5
System records location assignment

Each item is linked to its warehouse bin, shelf, and zone for precise location tracking.

6
Scan CONFIRM — batch sealed and logged

Batch is finalized. Full audit record created: who packed what, when, where, from which production run.

📋 FIFO Enforcement
1
Order comes in requiring SKU allocation

System receives order and identifies which SKUs need to be picked.

2
System checks all batches of that SKU

All available batches are evaluated by pack date, quantity, and location.

3
Automatically selects oldest batch first (by pack date)

FIFO is enforced automatically — no manual tracking needed. Oldest stock always ships first.

4
Alerts if any batch approaching expiration threshold

Amber warning displayed if a batch is nearing its expiration date. Priority pick recommended.

5
Operator picks from designated batch location

Screen shows exact location: zone, shelf, bin. Operator walks directly to the right batch.

6
Stock levels update in real-time

Batch quantity decrements immediately. Dashboard reflects current inventory across all locations.

📊 Stock Reconciliation
1
Scan STOCK TAKE command card

System enters reconciliation mode — ready for physical inventory scan.

2
Walk through warehouse, scan each item

Running counter updates with each scan. Batch IDs and locations are verified simultaneously.

3
System compares scanned count vs expected count

Real-time comparison against recorded inventory. No waiting until the end to find problems.

4
Discrepancies flagged in real-time on screen

Red alerts for missing items, amber warnings for location mismatches. Investigate immediately.

5
Investigate and resolve mismatches

System shows last known location and movement history for each discrepant item.

6
Scan CONFIRM — reconciliation report generated automatically

Full report showing actual vs expected, variance by SKU, and resolution notes. Audit-ready.

🚨 Recall Management
1
Quality issue identified — enter batch ID

A defect is reported. Enter the batch ID to begin the recall process.

2
System instantly shows all orders containing that batch

Complete list: order numbers, customer names, quantities, ship dates, tracking numbers.

3
For unshipped orders: flag for hold

Any order still in the warehouse is automatically placed on hold. Prevents affected stock from shipping.

4
For shipped orders: show customer details + tracking

Full customer contact info, delivery status, and tracking numbers for outreach.

5
Generate recall notification list

Export-ready list of affected customers with contact details for email or phone outreach.

6
Track recall progress — who was contacted, returns received

Dashboard tracks: contacted customers, pending responses, returned units, resolution status.

Frequently Asked Questions

Common questions about OrderHUBx BatchTrack, compatibility, and implementation.

How does BatchTrack work with PackScan?

They're complementary. PackScan verifies packing accuracy — right items, right quantities, no mix-ups. BatchTrack adds batch-level traceability — which production run, which lot, which serial numbers. Use both for complete warehouse control: error-free packing AND full supply chain visibility.

What hardware is needed?

Same barcode scanners used by PackScan, plus pre-printed batch labels (standard thermal labels). No additional hardware investment if you already have PackScan. If you're starting fresh, the same ~$100 per station setup applies.

Can I track batches across multiple warehouses?

Yes. BatchTrack supports multi-warehouse tracking with full audit trail as items move between locations. Every transfer is logged — when it left, when it arrived, who handled it, and where it was placed.

How does the recall process work?

Enter a batch ID, and the system instantly returns every order and customer that received items from that batch. Unshipped orders are flagged for hold. For shipped orders, you get customer details and tracking numbers. Generate notification lists and track recall progress — who was contacted, who responded, which returns were received.

Is BatchTrack available now?

Yes — BatchTrack is fully operational and included as an add-on module with OrderHUBx. Contact our team to schedule a demo and see it in action with your workflows.
